Viewing and Responding to Website Form Submissions

Your WebForm inquiries (e.g. Contact, Catering, Private Events, Job Application WebForms) are forwarded to the email address you provided during activation, but you can now also log into your Engage Admin to view, manage and respond to all your webform submissions. 

 Select Form Submissions in the Audience section of Navigation



Viewing Form Submissions


Your 'Inbox' defaults to show all submissions that are awaiting reply, starting with most recent.  You can Filter the view by status ("All", "Awaiting Submitter Reply", "Closed" and you can also export your submissions.  You will see a list of your website forms on the left and the number of submissions that require attention (open & new | awaiting reply) next to each form



Click on the Form Name to show the submissions just for that form.  e.g. Careers form below. 


Click on the 'Show Details' action icon to see all info for any submission. 


You will see all the information submitted including any files uploaded.
 

To download a file that was submitted just click on the file name in the attachments.  You will see a warning message asking you make sure you trust the form submission.


You can flag a submission as Spam by clicking on the Spam action icon.  This will move the message to your Spam folder.




Responding to Form Submissions in Engage


Toggle on the Conversations Feature to manage your responses in Engage. You will still receive email notifications for new form submissions.



 To respond to a Submission click on the "open conversation" action icon in the submission
 

Type your response and hit send.  Note you can attach files (e.g. a catering quote) and include images and links (e.g. a payment link) in your response.


Your response and any follow-on communication will display in the conversation


 You can mark a submission as "closed" after you have reviewed/actioned the enquiry.    



If you want to DISABLE the new Form Conversations feature and return to managing your submissions using the older email format,  you can do this by Toggling Off Conversations on the top right of the Forms Submissions page.
